How I automated a tech consulting CEO's day with Claude (and what you can learn from it).
30 workflows orchestrated on Notion + BoondManager + Google Workspace + LinkedIn + Apollo + Calendly + Tactiq, no new SaaS. 4 pillars: multichannel anti-duplicate sales, 48h recruitment, inbound SEO/LinkedIn/AI citations, founder productivity. Zero lost leads in 6 months, 15 min/day vs 3-4h before.

The starting point
Running a tech consulting firm in 2026 means juggling three jobs that never stop:
- A sales pipeline that needs clean multichannel follow-ups and up-to-date client briefs.
- A recruitment engine that must produce qualified shortlists in under 48h.
- An inbound presence (LinkedIn, SEO, content) that cannot rely on a good week.
And in the middle of all that, a CEO's calendar. 30 to 40 meetings a week, 200 inbound emails a day, two active LinkedIn profiles, WhatsApp, Slack, Line, Calendly, video transcripts to file.
At some point, you either hire three assistants, or you industrialise. We chose to industrialise.
The stack we orchestrate
Nothing magical on the tools side. These are the building blocks many companies already have:
Notion as the single source of truth · BoondManager for staffing CRM · Google Workspace (Gmail, Calendar, Drive) · Slack for internal coordination · LinkedIn (via Unipile API) for messaging · Apollo.io for B2B sourcing · Calendly for booking · Tactiq for transcripts.
What changes is the orchestration layer on top. For us, that's a custom Claude assistant that runs about thirty dedicated workflows and makes decisions based on documented business rules.
No additional SaaS. No subscription to yet another tool. We connected what we already had.
Pillar 1 — Sales: the multichannel follow-up that never drops a lead
The classic bug for a consulting firm is the lead that dies between channels. A prospect replies on LinkedIn, you switch to email, you forget to follow up because the inbox changes.
What we automated:
- A 4-times-a-day scan of Gmail, LinkedIn (two profiles), WhatsApp and Calendar to detect who hasn't had a reply in too long.
- An automatic T0–T4 sequence with follow-ups written in the house voice, in the right Gmail thread (not a new orphan email), on the right LinkedIn profile.
- A cross-channel anti-duplicate: before any send, check that nothing equivalent has gone out in the last 30 days, on any channel.
- Real-time CRM backfill: every interaction is tracked in BoondManager and in a centralised Notion Tracker.
Concrete result: zero lost leads, and writing follow-ups no longer consumes the founder's time.
Pillar 2 — Recruitment: from client need to qualified shortlist
When a client sends a job description, the time to respond has become a competitive variable. Most consulting firms take 5 to 10 days to produce a clean dossier. We aim for 24 to 48h.
What runs daily for us:
- Automatic reading of the job description and creation of the need in BoondManager (company + contact + description).
- 3-channel sourcing (internal Boond pool + LinkedIn search + Apollo) with a candidate-by-candidate engagement pre-check.
- A double-axis scoring: Client-fit (mission match) and Abbeal-fit (values alignment), to produce a ranked TOP 10 without bias.
- Skills dossier generation in Abbeal format, anonymised, with the logo and corporate layout, in minutes instead of 90.
- Auto-prep for interviews: the day before the call, an enriched candidate sheet (LinkedIn, Gmail history, prior transcripts) is ready on the Boond record.
Result: less context-switching for the teams, more qualified profiles for the client, interviews where we arrive prepared.
Pillar 3 — Inbound: SEO, LinkedIn, AI citations
Inbound is what pays when the market wobbles. And it's what most CEOs drop for lack of bandwidth.
Our automated inbound routine:
- Weekly audit of messaging consistency between the site, LinkedIn, Notion, Medium, Google My Business in three cities, and third-party pages.
- SEO tracking on 20 keywords (FR/EN/JP) with Core Web Vitals, schema.org and backlinks.
- LLM citation tracking: ChatGPT, Perplexity, Claude, Gemini on 6 standardised prompts. Because in 2026, being cited by the AIs is worth as much as ranking well on Google.
- Daily GSC submission of 10 priority URLs to speed up indexation of new pages.
- Automatic LinkedIn generation and publishing with native graphic visuals, on the personal profile and the company page, with strict respect for tone of voice and graphic palette.
Result: a regular presence, a site that ranks, and inbound leads that arrive without us hunting them.
Pillar 4 — Personal productivity for the founder
This is the part people often forget. Before saving team time, you need to save the CEO's hours.
What runs on my own day:
- Weekly Calendar triage: Friday morning, scan of all next week's appointments, KEEP/REPORT/CANCEL/DELEGATE verdict per event, with cross-source context (LinkedIn, Boond, Gmail, Tactiq).
- Reading the Apple Notes todo + cross-referencing with Gmail and LinkedIn to check what's already done before suggesting priorities.
- Mail drafts written in voice, in the right language, with the correct HTML signature and the right Calendly link by context.
- Daily 8pm recap: everything that happened on Gmail, LinkedIn, Calendar, Tactiq and Boond, consolidated into a single report.
My role has changed: I no longer do execution, I do decision and arbitration.
What it looks like in numbers
- 30 automated workflows orchestrated on the same infrastructure.
- 4 scans per day across all channels.
- Zero lost leads between channels in 6 months.
- 24 to 48h to produce a qualified candidate dossier.
- 15 minutes per day to validate what goes out, vs 3 to 4h before.
The method we apply
We don't sell a tool. We don't push yet another SaaS. What we do is map your existing stack and identify the 5 frictions that eat the most of your team's time.
Most of the time, you already have 80% of what's needed. What's missing is the orchestration layer and the documented business rules.
